Privacy policy

Last updated: 22 September 2026

This policy covers the W.E Quote website and companion app. W.E Quote is operated by William James Elliott. Contact will.elliott8@gmail.com about this policy or your information.

Who is responsible for your information

W.E Quote is responsible for account administration, service security, subscription records and support correspondence. When a trade business puts its customer or worker information into a job, that business decides why the information is used and is responsible for its customer and worker privacy notices. We store and use those job records to provide the service for that business.

Information we use

Most information comes from you. Customer and worker information can also come from the business preparing the quote, and subscription status comes from Stripe. Only upload information you are entitled to use. This service is intended for business users, not children.

Why we use it

We use account, job and subscription information to provide the service you request, save and display your work, manage access and answer support requests. We rely on performing our contract with you for these activities. We rely on legitimate interests in operating a reliable service, preventing misuse, diagnosing faults and protecting accounts for necessary security and service records. Where required, records may also be retained or disclosed to meet legal obligations or establish, exercise or defend legal claims.

Receipt text is recognised on your device using the app’s text-recognition software. When you confirm a receipt, its image and checked cost details are uploaded to your workspace. Check suggestions before saving them. We do not use your job records to train an AI model, sell them, or use them for advertising. We do not make decisions about people with legal or similarly significant effects solely through automated processing.

Who can receive information

Cloudflare hosts the service and stores account, job and attachment records. Resend sends account verification and password-reset emails. Stripe processes website subscriptions. Google provides the support email service. These providers receive information needed for their respective services. Information may also be disclosed when legally required or necessary to protect rights and service security.

When you share or print a quote, its customer-facing information is visible to the recipients you choose. Anyone with an active quote link can view that quote, so share links carefully. Internal cost and profit breakdowns are not included in the customer quote. Expiry of a quote’s acceptance period does not by itself delete the quote or make its link private.

Apple processes App Store and TestFlight activity under its own policies. If you send TestFlight feedback or enable diagnostic sharing, Apple may provide feedback or diagnostic information to the developer.

Where information is processed

Our service providers operate internationally and may process information outside the UK. Their published data-protection terms describe the applicable transfer arrangements, including adequacy arrangements and standard contractual safeguards where applicable. You can ask us for information about the arrangements relevant to your data.

Provider information: Cloudflare data processing terms; Resend data processing terms; Stripe data processing terms; Google privacy policy; Apple privacy policy.

Cookies, local storage and permissions

Essential cookies keep you signed in and help secure your session. Sign-in sessions are configured to expire after seven days unless renewed through use. Verification and reset links expire. The service does not add advertising cookies or an advertising analytics SDK. Your browser or app may cache assets and keep preferences or temporary demo work locally.

The camera and file/photo picker are used when you choose to add a logo or receipt. You control the files you select and can change camera permission in your device settings. We do not request your contacts or location.

How long information is kept

Account and job records are kept while needed to provide your workspace and access to your saved business records. Cancelling a subscription does not automatically delete them. Retention depends on whether the account is still in use, requests from the business responsible for a record, outstanding support or disputes, and applicable legal record-keeping requirements. Security records are kept for the period needed to investigate misuse and protect the service. Provider logs and backup copies are subject to their retention and deletion processes.

You can permanently delete your account using the control under Delete your account. Active account and workspace records are removed when completion is confirmed. Any payment records required for accounting remain with our payment provider for that purpose; backup copies expire under the hosting provider’s retention process. Copies already downloaded, printed or held by your customers are outside our control.

Your choices and rights

Depending on the circumstances, you can request access to your personal data, correction, deletion, restriction or a portable copy. We may need to verify your identity and consider the rights of others before acting. If you are the customer or worker of a business using W.E Quote, that business normally handles requests about its job records.

Your right to object: you can object to processing based on legitimate interests by contacting us and explaining your circumstances. Where processing relies on consent, you can withdraw that consent without affecting the lawfulness of earlier processing.

Send privacy requests to will.elliott8@gmail.com. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint, whether or not you contact us first.

Changes to this policy

We will update this page when our practices change and show the revised date above. Where a change materially affects how your information is used, we will provide an appropriate notice.
